Background

The Environment Institute of Australia and New Zealand (EIANZ) is a not-for-profit, professional association for environmental practitioners from across Australia and New Zealand.  EIANZ supports environmental practitioners and promotes independent and interdisciplinary discussions on environmental issues.  The Institute also advocates for environmental knowledge and awareness, and advances ethical and competent environmental practice.

The Executive of the New Zealand Chapter of EIANZ comprises a President NZ, a Vice President NZ, a Secretary, a Treasurer, Committee members with various portfolios and a Councillor on the EIANZ Board.  The Executive is supported by branch coordinators located in main centres around New Zealand (voluntary positions) and an Administration Support (NZ) Position.

The Administration Support (NZ) Position is a paid position funded by the New Zealand Chapter.  The role is reviewed annually to assess the ongoing need for it, hours required, adjustment of duties and ability to fund it.

Administration Support (NZ) Position

  • Position title: Administrator
  • Reports to:  EIANZ NZ Chapter Secretary
  • Terms of employment: Fixed term contract to end of financial year, 30 June 2022
  • Hours: The role is for a total of 16 hours per month.  It is expected that approximately four hours of work per week will be undertaken.
  • Payment: End of each month on receipt of an invoice.


Key roles, responsibilities and deliverables of the Position

The Administration Support (NZ) role is primarily responsible for supporting the Executive and branch coordinators by managing the administrative needs of the New Zealand Chapter.  It is a people-management role that largely entails engaging with branch coordinators and event speakers to organise branch events and online events, and engaging with the Executive to organise Committee meetings and the annual AGM.

The main responsibilities and deliverables are outlined as follows:

Supporting the delivery of professional development events

Provide administrative support to branch coordinators, and those responsible for developing online events, to enable the delivery of regular professional development events across New Zealand.  This includes coordinating and/or preparing marketing material using EIANZ templates, booking venues and refreshments, liaising with presenters, and distributing EIANZ marketing resources to branches (such as brochures and banners).

Update the Chapter Executive on the number of events attendance of those events.

Supporting Executive Committee Meetings

Schedule and attend monthly New Zealand Chapter Executive Committee meetings (online meetings) and the annual AGM.

Prepare the agenda and minutes, request monthly financial reports from EIANZ’s Finance and Administration Coordinator (see ‘Central Office’ below), and disseminate all relevant information to the Executive (if required by the New Zealand Chapter Secretary). 

Information management

Maintaining the New Zealand Chapter information management system (currently kept as folders and files in Dropbox) to ensure all data, documents and relevant information is filed appropriately and in a timely manner.

Maintain user access to the NZ Chapter Dropbox, ensuring appropriate permissions are allocated.

Working with EIANZ organisation (‘Central Office’)

Liaise with EIANZ’s Central Office in Melbourne to keep up-to-date with administration policy, systems and procedures, and to communicate this to the New Zealand Chapter Executive. The Finance and Administration Coordinator is part of Central Office, and is responsible for undertaking financial administrative functions for the Chapter Executive, including producing monthly financial reports for the Executive Committee meetings.

Skills, knowledge, experiences and personal attributes

  • Excellent organisational and time management skills to enable the delivery of regular, high quality professional development events.
  • Capacity to work independently. Self-motivation and the initiative to identify and offer appropriate support to branch coordinators is essential.
  • Excellent people-management skills.
  • Strong written and oral communication, with attention to detail.
  • Competency with the Microsoft suite of programmes and social media.
  • Models organisational values and behaviours in line with EIANZ’s Code of Ethics
